Job description - Finance Manager

 

Overall Role

The Finance Manager is responsible for delivering accounting support for the organisation.

They will report to the General Manager and they will work with all members of the GCAT team.

 

Principal Responsibilities

To undertake financial management of all GCAT functions in accordance with Company procedures.

To deal with all financial matters of the organisation, including all income and expenditure, invoicing, debtor and creditor management, cash flow, payroll, vat returns, budgeting and reporting.

 

Main duties

 

  • Maintain and update GCAT financial systems and procedures

  • Manage all income and expenditure streams

  • Prepare bank lodgements

  • Sales Invoicing and chasing debtors

  • Manage all invoices received, obtain authorisations and preparing payments in line with agreed terms

  • Creditor control and monthly payment of monies due to creditors

  • Signing authority for GCAT bank transactions

  • Reconciliation of bank accounts and company credit cards

  • Producing financial management reports and information for GCAT board, General Manager and other staff where appropriate, including variance reporting between budget and actual income and expenditure.

  • Assisting General Manager in controlling budgets

  • Management and control of all GCAT project budgets in conjunction with project officer(s)

  • Preparation of annual audit file and handover to Auditors including calculation of accruals, pre-payments and carry forward values of funding.

  • Filing in respect of all finance functions

  • Preparation of budgets for all funding applications

  • Preparation of annual budgets for GCAT and all individual projects

  • Preparation and delivery of periodic financial reports and required evidence to funders

  • Maintaining record of donations and gift aid claims

  • Preparation and submission of regular Vat returns

  • Co-ordination and preparation of monthly salaries

  • Upkeep and correspondence for the Friends & Patrons scheme

  • Minute taker at Board and Staff meetings

  • Staff appraisals

  • Assisting Front of House: reception, shop, café in the daily running of the Catstrand

  • Work closely with the Catering and Retail team to increase sales and optimise margins

  • Venue Hire – correspondence and pricing of all hire enquiries.

 

Other

  • Deputising for General Manager

  • Promoting and participating in an alert and positive approach to Health & Safety and appropriate working methods at all times

  • Helping to ensure that the Company’s Health and Safety Policy and all relevant Health & Safety legislation are applied effectively to all office activities at all times

  • Working as an effective team member, contributing to the development of the organisation as a whole

  • Ensuring efficient delivery of any other tasks reasonably required.
